Lost and found software for universities: one shared list for every building

On a campus, found items end up everywhere: the library desk, the sports hall, a lecture theatre office, the porters' lodge, the student union. Each location keeps its own box and its own notebook, and a student who has lost a laptop charger or a student card has to guess which of them to ask. DokiFinder gives the university one shared list that every location writes to, so students and staff search and report in one place, and your team reviews the proof before anything is handed over.

One inventory across campus locations

Staff at each location log what they receive with a photo. AI reads the photo and drafts the type, colour, brand and distinguishing marks, the staff member corrects it and records the building and the date, and the item enters the shared inventory with its storage location. The central team sees what each location holds, and a student no longer has to know which desk to try. Paid plans raise the number of locations beyond the single location of the free plan.

Students and staff report in their own language

A student files a lost report with a description, a photo and the building where they last had the item. Reporting is free, and the site runs in 13 languages, which suits a campus with international students and visiting researchers. The report is compared with the items in your inventory on category, place, date, description, colour and photos, and the student is told when a likely match appears.

Student cards, keys and devices

Student cards, keys, laptops and phones make up much of campus lost property. Items your university holds are private by default and surface only to the person whose report matches. Photos of identity documents are never sent to an AI service, and sensitive fields are hidden. A card that carries a name can be matched without the card being displayed publicly.

Verifying the owner

The claimant provides proof: details that are not visible in the record, such as what is on the lock screen, a sticker, an engraving, a serial number or a receipt. Your team reviews it, asks follow-up questions in the built-in chat and approves or declines. Every decision is logged with the name of the person who made it and the time, which gives the university an audit trail without extra paperwork.

Pickup on campus, shipping for those who have left

Most returns are a pickup at an agreed desk and time. For alumni, visiting students and staff who have already left, the claimant can ask for shipping: the carrier quote is shown before payment, your team packs the parcel and hands it to the carrier. If the university charges a recovery fee, it is shown before payment too.

Holding periods and cost

The holding period is yours to set. The default follows the German statutory six months, and administrators are warned a week before it ends, so disposal and donation to charity happen on schedule. The university pays one flat monthly plan with no per-item charge. The free plan covers 50 active items, 3 team members and 1 location.

Frequently asked questions

Can several campus locations use one workspace?

Yes. Locations write to one shared list, and the central team sees what each holds. The free plan covers 1 location; paid plans raise the limit.

Can international students report in their own language?

What happens to student cards and IDs?
